1. Who we are

Aitiom is a business and technology transformation consultancy. This policy explains what personal information we collect through this website, why we collect it, and what you can do about it. We operate across the UK and Europe, and this policy applies to every visitor, wherever you’re based.

2. Information we collect

We only collect what you give us directly. If you use the contact form, that’s your name, email address, company (optional) and message. If you use the chat widget, that’s your name, email address and whatever you type. Beyond that, we use Vercel Web Analytics to understand how the website is used — see Section 5 for what that involves. The one other exception is a small, essential note stored in your browser to remember that you’ve seen our privacy notice, so we don’t show it to you again on every visit.

3. How we use your information

We use it to respond to your enquiry and, if it goes further, to discuss and deliver a piece of work with you. We don’t add you to a marketing list, sell your information, or use it for anything other than the conversation you started.

4. Contact forms

When you submit the contact form or leave your details in chat, the message is sent by email to our team using a third-party email delivery service (Resend). Your email address is set as the reply-to address, so replying to you is straightforward. Submissions aren’t automatically added to a marketing database or CRM — a person reads them and follows up.

5. Analytics

We use Vercel Web Analytics to understand how the website is used. It provides aggregated, privacy-focused information such as page views, referral sources, device types and approximate location. Vercel Web Analytics does not use cookies or create persistent profiles of individual visitors. If our use of analytics changes, we’ll update this policy and the privacy notice shown on the site accordingly.

6. Legal basis for processing

We process the information you send us because it’s necessary to respond to your enquiry — a legitimate interest, both yours and ours — and because you’ve chosen to give it to us by submitting a form. Where we rely on consent, you can withdraw it at any time by getting in touch.

7. How long we keep information

We keep enquiry correspondence only for as long as we need it to respond to you and, where a working relationship develops, for the length of that relationship plus a reasonable period afterwards for our own records. We don’t keep it indefinitely “just in case.”

8. Sharing information

We don’t sell your information, and we don’t share it with advertisers. We share it only with the service providers who help us run this website and respond to you — currently our email delivery provider — and only to the extent needed for them to do that job.

9. International transfers

Some of the service providers we use may process information outside the country you’re contacting us from, including in the United States. Where that happens, we rely on the safeguards required by law to keep your information protected wherever it’s handled.

10. Your rights

You can ask us what information we hold about you, ask us to correct or delete it, withdraw any consent you’ve given, or object to how we’re using it. Get in touch and we’ll deal with it directly. If you’re in the UK or EU, you also have the right to complain to your local data protection authority — though we’d much rather you spoke to us first.

11. Security

We take reasonable technical and organisational steps to protect the information you share with us. No method of transmission over the internet is completely secure, so while we work to protect your information, we can’t guarantee its absolute security.

12. Changes to this policy

We may update this policy from time to time as our website or ways of working change. The date at the top shows when it was last revised. We won’t make changes that reduce your rights without telling you.
